The Activity log is a dated list of what changed in your workspace and who changed it. Open it from Configuration → Activity log when you need to answer "who did that?" or "what was it before?".
Who can see it
Owners and admins. Agents cannot open it and do not see the menu entry. It follows the same line as changing settings: if you can change how the workspace behaves, you can read the record of it. The full breakdown is in Roles: owner, admin, agent.
What it records
Every change made in your workspace, plus every sign-in and every failed sign-in. Each line says who did it, what they did, and when.
| Area | What appears |
|---|---|
| Security | Sign-ins, failed sign-ins, password changes and resets |
| Team | Invitations sent and revoked, role changes, deactivations |
| Channels | A channel connected or disconnected |
| Billing | A plan change, a cancellation, a cancellation undone |
| Setup | Changes to your business profile, questions, rules and matching, with the old and new value |
| Leads | A conversation taken over or handed back to the bot, answers changed, a lead moved to another status |
| Your records | A record added, updated or deleted. Your workspace has its own word for these, such as candidates or properties |
Before and after
For settings, a line expands to show the old value beside the new one. If someone changed a rule from 70 to 50, you see both numbers, so you can put it back without guessing.
For leads and your records, a line lists which fields changed, not what they were changed from or to. A lead's answers and a record's details are personal data, and the log is read by more people, for longer, than the conversation itself. If you need the value, open the lead or the record: it shows what is there now.
What it doesn't record
- Messages. What a lead and the bot, or a lead and your team, said to each other is in the conversation, not here.
- Previews and tests. Trying your bot in the playground does not appear.
- What people look at. Opening a page or reading a lead leaves no line. The log is about changes and sign-ins, not browsing.
How long it's kept
12 months. After that, older lines are removed. If you need to keep a record of something for longer, copy it out before it ages off.
A failed sign-in you don't recognise
One failed sign-in is usually a mistyped password. Several in a row, or at an hour nobody on your team would be working, are worth a look.
- Reset the password on the account concerned, from the sign-in page. A reset ends every session that account had (Verifying your email and changing your password).
- Check Team. Make sure everyone listed is someone you recognise, and that nobody who has left still has a seat (Inviting your team).
- Look at the sign-ins around it. A failed attempt followed by a successful one from the same account is the one to follow up with the person.
