Setting up with AI when no template fits

How to describe your business and let AI draft your setup, the few questions it asks, what it never decides for you, and what we keep and for how long.

If none of the industry templates fits your business, you do not have to build everything by hand. Tell us how your business works, and AI drafts your setup: the questions your bot asks, the services and choices you describe yourself with, the facts your bot may tell leads, and the limits you mentioned. It takes about ten minutes, and nothing reaches a lead until you have tried your bot yourself.

You start it at signup with None fits? Set it up with AI. A workspace with no template and no business profile yet is taken to the same place (that includes Build it myself at signup), and Skip this, I'll build it myself on the first screen goes straight to Quick start with no draft. Owners and admins can use it; an agent cannot.

The path

#ScreenWhat happens
1DescribeYou write a few sentences about your business, and add files if you have them
2DraftingAI works for a minute or two. You can leave
3A few questionsAt most five, each with an answer already chosen
4Your rulesThe one required screen of Quick start, as on any template
5Try your bot, then go liveThe playground, then a channel

After you go live, Check each part (under Fine-tune) lets you read what AI drafted, one part at a time.

1. Describe

The box asks for your business in a few sentences. If you gave a website at signup and we could read it, the box starts with what we found about your services and where you work. Add what a website cannot say: who you serve, what you say no to, how you price. Three prompts under the box start a sentence for you. The box takes up to 2,000 characters.

You can come back to your own words. What you last wrote, and the files you added, are still there if you reload the page, leave and return, or press Edit my description later.

Create my draft is switched off until there is something to work from: a website we read and found facts on, at least 40 characters of description, or a file we could read. The line under the button says which, and it waits while a file is still being read.

Your website

The card shows the site we read, how many pages, and what we found on it ("2 services, your hours"). We read it once, and we keep a short list of facts with the sentence each came from, never a copy of your pages (How AI fits your template says exactly what we read).

  • Change opens a box for a new address. Save and read it reads the new site at once and replaces what we found on the old one. If the first address had a typo, this is the fix.
  • A website can be read three times a day. If you have used them, the box says so and keeps the address you had; try again tomorrow.
  • You cannot change the address while a read is still going. Wait for it to finish.
  • Reading the same site again never loses what we found. The new facts replace the old ones only when the new read works. If it fails (the day's reads are used, the site doesn't answer, or we can't go through it), the card keeps the last good read, says why the new one didn't work, and offers Try again.
  • If you gave no website, Add your website does the same thing.

Your files

A price list, a staff list, your terms: add up to 5 files, 10 MB each. Each shows Read, or We can't read this and the reason, so you can fix it and try again. Remove takes a file back out, whether we read it or not. How files are read, and what to put in them, is in Uploading your price list or roster.

2. Drafting

AI makes the draft in several steps, which takes a minute or two (more when there are files). The screen says so, and it says you can leave: your draft keeps going.

  • Carry on later takes you to the dashboard. When the draft is ready, a banner there says Your draft is ready and takes you straight to the questions. Close it and it stays closed for that browser session. A workspace with no business profile yet has no dashboard to go to, so it has no such button; you can still close the page, and setup brings you back to your draft.
  • A draft is made whole or not at all. If it fails or is cut off, nothing is saved, the screen says so, and Try again and Edit my description are there. Your description and files are still held.
  • No part is left out quietly. If one part of the draft (your business and its questions, what you offer, how matches are picked, or your rules and answers) doesn't fit with the rest, AI is asked for that part once more. If it still doesn't fit, the draft stops and says which part, for example "We couldn't draft your rules and answers this time. Try again."
  • You can start up to five drafts a day. The count is not your AI reply allowance, which is kept for replying to leads.

3. A few questions

AI asks only where your material left a real doubt: two figures for the same thing, or something it found but wasn't sure belonged. You never get more than five. Each one shows:

  • the question, and why it is asked;
  • the choices, with one marked Recommended and where we found it ("We found this in prices.csv");
  • Use recommended for the rest, if you would rather not answer them one at a time.

Each answer is saved as you press Next, so you can leave and come back to the first question you have not answered. A summary at the end lists every answer with Change, and anything the draft left out and why.

4. Go to your rules

Go to your rules is the moment the draft is applied. If your workspace had no business profile yet, your business details are saved from the draft first (your name, plus a currency and a time zone worked out from your browser, which you can change on the Business step). Then everything in the draft is applied as one set, and Quick start opens at the rules step (at the Business step instead, if a required box of your business details came back empty). If the draft was already used (in another tab, say), the screen says so and refreshes.

That set is one entry in Setup history, headed Drafted from your description, and one Undo these changes takes all of it back, as long as you have not edited any of it by hand since (an undo never overwrites your own work). Undo the draft before you decide its rules or confirm its prices if you mean to.

What AI never decides

These stay yours, whatever your files and website say:

  • Hard or Negotiable on any rule. A draft's rules arrive with neither chosen, and you choose on the rules step.
  • How many hard rules turn a lead away, and whether the conversation then ends or keeps talking.
  • Your emergency message. A draft never writes it and never marks it confirmed. It may raise the care your bot takes with a topic (it does so if your words show you treat people's health, work on gas or electrics, or serve children), and it never lowers it. It needs a sentence of yours to point to: a pet sitter who gives animals medication stays on General, and you can change the kind of business on the Business profile page whenever you like.
  • Your currency and time zone.
  • Offers, discounts and money limits.
  • Whether a number is right. A number a draft puts on a rule is not confirmed: your bot does not say it to a lead until you confirm it on the rule's card (Qualification rules).

Two more promises:

  • It does not overwrite what you wrote. If your business profile already has a name, introduction or labels that you typed, the draft fills only the boxes that are empty.
  • It keeps your setup to a handful of choices. If the limits in your material would add up to more than four decisions on the rules step, the draft keeps the best-supported ones and says which it left out.

Prices and policies wait for you

Facts such as FAQs, hours and places are ready for your bot to use. A price or a policy (refunds, cancellations) is different: it arrives waiting for your confirmation. Until you confirm it, your bot tells a lead it will check with the team instead of quoting it. A card on your bot's to-do, Check facts we read from your website, takes you to the knowledge page to look each one over and confirm it. Details are in What your bot may tell leads.

Check each part

Once a draft is in force, Fine-tune shows Check each part first. It lists the seven parts of the draft (your business, what you offer, your records, the questions, matching, rules, and what your bot may tell), each with a count. A dot marks a part where something came with no line from your material behind it, so it is where to look first. Looks right is a note for you, kept in your browser; it changes nothing. Anything you change on a part's page is recorded in Setup history.

What we keep, and for how long

  • Your files are never stored. We read them while they arrive and keep only the text.
  • That text, and your description, are deleted once the draft is applied or declined, or after 7 days, whichever comes first.
  • Nothing is kept to train AI. Your material is used to make your draft and for nothing else.
  • What stays after you apply is what you chose to keep: your setup, and the draft's entry in Setup history with the old values for 90 days so you can undo it.
  • The Activity log records that you added or removed a file and changed your website, never the file's name, its words or the address.

If something goes wrong

What you seeWhat it means
Create my draft is offThere is not enough to work from yet. Add your website, a few more sentences, or a file we can read
We can't read this on a fileThe reason is on the line. A photo of a page, a password, or a file type we don't read are the usual ones (Uploading your price list or roster)
