On this page
Quick start asks you only for the choices a template cannot make. Everything else it leaves on a safe default, and Your bot's to-do is where those defaults come back, a few at a time, each with a ready-made answer for you to keep or change. Nothing on it blocks your bot or setup. It lives in the app only: nothing is emailed or messaged to you about it.
Where you see it
- The dashboard, under the heading "Your bot's to-do". A new workspace with no leads yet sees the same cards in its first-run view.
- Above the inbox. A one-line banner, "Your bot's to-do: 2 things to check", with an Open button that takes you to the dashboard. The X hides the banner for the rest of your browser session; it comes back on your next visit if there is still something to check. It never shows when there is nothing to check.
The cards today
| Card | It appears when | The ready-made answer |
|---|---|---|
| Review what we read from your website | Changes fitted to your website are waiting and you have not kept or declined them. It shows at once, without waiting for the one-a-day pace | Open it to return to the list: keep the ones that are right and undo the rest. Your template stays as it is until you decide (How AI fits your template) |
| Check facts we read from your website | The website or a file gave a price or a policy that is still waiting for you to confirm it. It shows at once, without waiting for the one-a-day pace | Open the knowledge page, compare each one with your business and confirm the ones that are right. Until you do, your bot says it will check with the team (What your bot may tell leads) |
| Add your real (your records, in your own words) | You have none of your own and the template's samples are still there. With no records at all, or none left to replace, there is no card | Replace the samples with the ones you really run. Until you do, the bot matches leads against the samples |
| Is this your greeting? | Your introduction is still word for word the template's | Keep it, or change a word in your business profile. The card shows the introduction as it stands |
| Tell (your assistant) your opening hours | You have not set opening hours | Add your weekly hours in the business profile. Without hours the bot never promises when someone will reply |
| A lead asks "…". What should (your assistant) say? | A real lead asked something none of your facts covers. It shows at once, with the newest question | Type the answer in the box on the card and press Save answer. It is saved as a fact your bot says from then on, and the card moves to the next question. See all opens the whole list under What your bot may tell leads. Questions typed in the playground never come here |
| How hard should (your assistant) sell? | You have not chosen. Until you do, your bot sells like a good salesperson | Pick one of the three cards: Helpful, never pushy, Like a good salesperson or Works hard to close. Each shows a line your bot might say, and your template may add a suggestion. It changes how many alternatives your bot offers and how often it asks for the next step, never your facts, prices or rules (How your bot sells) |
| Show leads the (your records) that fit? | You have at least one real record of your own and have not chosen yet. Not shown while you only have the template's samples | Keep the template's suggested fields ticked, tick or untick others, and press Yes, show them: your bot then shows the best few in the chat after the intake and the lead taps one. Not now hides it for 14 days, and the quiet Don't show options turns it down. With nothing ticked, leads see only the name; email and phone fields are never listed (Showing options to leads) |
| N leads missed this (one card for each rule) | At least one real lead in the last two weeks missed one of your negotiable rules, and your bot has no offer for it | Tick the offers your template suggested and press Use these, or press Only a check with the team, or Write my own to open the rule. Until you choose, your bot offers nothing and tells those leads your team will check (What your bot may offer) |
| Let (your assistant) book (the meeting)? | At least three real leads have qualified and you have not decided. Playground leads do not count. It follows the one-a-day pace. The title names your meeting ("Let Robin book the appointment?") | Choose on the card: Yes, book calls (with the call, who takes it and their hours already filled in from your template and your opening hours), Use my booking page, Not now, or We'll get in touch ourselves. Until you choose, your team gets in touch with each ready lead, as before. Yes is refused, with the missing part in red, until booking can work (Your next step) |
| (A team member) has no hours yet | Booking is on and a member who takes the call has no weekly hours. One card for each member. It shows at once, without waiting for the one-a-day pace | Add hours opens Next step, where each host's week is, or the member adds their own on Your account. Until then the bot leaves that member out and still offers the others (Your hours) |
| (Your assistant) is in Safe mode | Safe mode is on, whether you switched it on or it switched itself on (five blocked replies within an hour). It shows at once and is always the first card | Open Safe mode takes you to the switch in Settings. It goes when you turn Safe mode off (what it does) |
Each card names your own records and your assistant, so a recruitment workspace reads "Add your real candidates". Cards come from your workspace as it is now, not from a list somebody ticked: add a real record, change the introduction or set your hours, and the card is gone the next time the list loads.
How many, and how fast
At most five cards show at once, the one with the most to say first (the sample records card counts the samples you have, and does not show at zero), except Safe mode, which is always first. The inbox banner says "Your bot is in Safe mode" in its own words while it is on.
A card that follows from something you have just done appears at once: the website review, the facts to confirm, a question a lead asked that your facts do not cover, a team member with no hours, and Safe mode. Every other card is introduced one a day, at most. Your first visit shows one, the next day another, and so on, so a new owner is never handed a wall of chores. Cards you have already seen stay until you deal with them.
Choosing on a card
Five cards are answered on the card itself, with no Save button: how hard to sell, what to offer on a missed rule, the question a lead asked, showing options, and booking. Whatever you choose is saved at once, and a toast says so and offers Undo: undoing the sales choice puts it back to "not chosen", undoing the offers switches exactly those offers off again, undoing an answer deletes the fact it made, which reopens the question, and undoing Yes, show them switches options off and puts the fields back as they were, and undoing a booking choice puts it back to "not chosen", so the card can come back. None of them blocks your bot, and booking is never one of the choices setup waits for.
Keep, Change, Not now
- On the cards that are not answered on the card (the website review, the facts to confirm, your sample records, your greeting and your opening hours), Keep and Change both open the page that holds the answer: the setup page, the knowledge page, your records or your business profile. Today they are two doors to the same room. Keeping the template's introduction does not hide its card; only changing it, or Not now, does. Safe mode and a host with no hours have one button that opens the page instead (Open Safe mode, Add hours).
- Not now hides the card for 14 days. On a rule's "N leads missed this" card it hides that rule's card only. A toast says so and offers Undo, which brings the card back at once. After 14 days it returns if it still applies.
Who can answer
Everyone in the workspace sees the list. Owners and admins get the buttons and the boxes; an agent sees the same cards with a note, "An owner or admin can answer this", because the answer is a configuration change that agents cannot make.
